Fix My OMS.

You’re paying for powerful software.
Are you actually using it?

I provide independent audiology OMS optimization, migration support, and new clinic configuration to help practices get more value from their software.

Your practice management software should make running your clinic easier — not create more work. Whether you need better configuration, workflow optimization, or support preparing for a migration, I help audiology practices get more value from the software they already have.

THE PROBLEM

Does This Sound Familiar?

Your OMS may not be the problem. How it's configured might be.

Many audiology practices invest in powerful software but continue relying on manual processes, workarounds, and disconnected systems to manage everyday operations.

Duplicate Documentation

Staff enter the same information in multiple places, recreate documents, or maintain forms outside the OMS because existing templates don't support their workflow.

Inefficient Workflows

Appointment types, tasks, follow-ups, and reminders aren't configured around daily operations, leaving staff to manually track what should happen next.

Unreliable Reporting

Practice owners struggle to obtain accurate sales, financial, and operational reports or must export data into spreadsheets to understand practice performance.

Billing & Payment Issues

Inconsistent service pricing, insurance configuration, payment workflows, or accounting mappings create reconciliation problems and unnecessary administrative work.

Messy Patient Data

Duplicate records, outdated information, inconsistent data entry, and poorly organized records make it harder to manage patients and trust the information in the system.

Migration Frustrations

Problems from the previous system carry into the new one. Incomplete data, missing configurations, and workflows that weren't planned in advance create new challenges after go-live.

The result? More administrative work, inconsistent processes, limited visibility into practice performance, and missed opportunities to improve efficiency.

The solution isn't always new software. Sometimes, it's making your existing software work the way it should.

HOW I CAN HELP

Three Ways I Can Help

The right configuration makes all the difference.

Whether you're working with an existing system, transitioning to a new platform, or opening your first clinic, I help align your OMS with your practice's clinical, administrative, and financial operations.

EXISTING PRACTICES

Audiology OMS Optimization

Your software may already have the functionality your practice needs. I help identify underused features, inefficient workflows, and configuration issues that create unnecessary work or limit operational visibility.

Areas I can help with:

  • ✓ Scheduling, appointment types, and task workflows
  • ✓ Clinical documentation, forms, and templates
  • ✓ Billing, insurance, pricing, and payment workflows
  • ✓ Operational reporting and performance metrics
  • ✓ Reducing manual processes and duplicate work
THE GOAL

Get more value from the software you're already paying for while improving consistency, efficiency, and financial visibility.

SWITCHING SOFTWARE

Prepare for an OMS Migration

Moving to a new OMS is more than transferring patient records. I help practices identify existing data and workflow problems before migration, define configuration requirements, and prepare for a smoother transition.

Areas I can help with:

  • ✓ Pre-migration data and configuration assessments
  • ✓ Identifying cleanup and reconciliation priorities
  • ✓ Mapping existing and future practice workflows
  • ✓ Coordinating operational requirements with your OMS vendor
  • ✓ Post-migration configuration and workflow validation
THE GOAL

Avoid carrying old problems into a new system and establish a stronger operational foundation before and after go-live.

NEW AUDIOLOGY CLINICS

Configure Your New Clinic

Starting with a new OMS means making hundreds of decisions about how your practice will operate. I help establish the clinical, administrative, and financial configurations needed to support your clinic from day one.

Areas I can help with:

  • ✓ Provider, location, and appointment configurations
  • ✓ Services, CPT codes, fee schedules, and pricing
  • ✓ Patient forms, clinical notes, and documentation templates
  • ✓ Insurance, TPA, billing, and accounting workflows
  • ✓ Operational workflows, task management, and reporting
THE GOAL

Begin with an OMS configured around your practice's operations instead of developing inefficient workarounds after opening.

THE RIGHT PARTNERSHIP

Your Software Vendor Knows the Software.
I Know How Audiology Practices Operate.

I help bridge the gap between software functionality and real-world clinic operations, ensuring that your OMS is configured to support your workflows, financial processes, and business goals.

THINK ABOUT YOUR EMAIL

Gmail Works Right Out of the Box.

You can send and receive emails immediately. But imagine using it for years without organizing your inbox or taking advantage of its built-in features.

Labels Filters Templates Signatures

The software has the capabilities. But someone still needs to decide how those capabilities should be used to make everyday work easier.

Gmail isn't the problem. How you organize and use it makes the difference.
YOUR PRACTICE MANAGEMENT SOFTWARE

Your OMS Is No Different.

Your OMS provides tools for scheduling, clinical documentation, patient communication, billing, inventory, reporting, and more.

But having access to those tools doesn't automatically mean they're configured around the way your clinic operates.

Without well-designed workflows, your team may still be duplicating work, relying on spreadsheets, overlooking useful features, or struggling to get meaningful information from the system.

A functioning OMS and an operationally optimized practice aren't necessarily the same thing.

Two Areas of Expertise. One Shared Goal.

I work alongside your OMS provider, not in place of them.

Your OMS Provider

  • ✓ Develops and maintains the software platform
  • ✓ Provides product training and technical support
  • ✓ Configures features and settings within the agreed implementation scope
  • ✓ Performs contracted data migration and technical implementation services
  • ✓ Delivers updates, enhancements, and ongoing software support

HearShield Pro

  • ✓ Evaluates how your practice actually operates
  • ✓ Identifies inefficient workflows and opportunities for improvement
  • ✓ Translates clinical, administrative, and financial needs into configuration requirements
  • ✓ Coordinates with your OMS team and assists with approved configuration changes
  • ✓ Validates workflows and helps optimize how the software supports your business

I Don't Replace Your OMS Provider.
I Help You Get More From What They've Built.

By combining your software provider's technical expertise with my experience in audiology operations, we can create workflows and configurations that better support your staff, your patients, and your practice's financial goals.

MY APPROACH

From Assessment to Optimization

A practical, structured approach built around your practice.

Every audiology practice operates differently. Rather than applying a one-size-fits-all setup, I evaluate your current processes, identify what needs improvement, and help configure your OMS to support how your clinic actually works.

01

Assess

First, I look at how your practice operates and how your current OMS is configured to support those operations.

What I evaluate:
  • ✓ Current system configuration
  • ✓ Clinical and administrative workflows
  • ✓ Billing and financial processes
  • ✓ Data quality and reporting needs
THE OUTCOME

A clear understanding of what's working, what's not, and where improvements are needed.

02

Plan

Next, I translate your operational needs into a practical configuration and improvement plan.

What I develop:
  • ✓ Recommended workflow changes
  • ✓ Configuration requirements
  • ✓ Prioritized implementation tasks
  • ✓ Vendor coordination and responsibilities
THE OUTCOME

A defined action plan that identifies what needs to change, how it should work, and who is responsible.

03

Configure

I help put the plan into action, making approved configuration changes and coordinating with your OMS provider when needed.

What I help implement:
  • ✓ Scheduling and task workflows
  • ✓ Clinical and communication templates
  • ✓ Fees, billing rules, and financial setup
  • ✓ Operational reporting configurations
THE OUTCOME

Approved configurations are implemented or coordinated within the agreed project scope.

04

Validate

Finally, I help confirm that the configuration supports real clinic workflows, not just that the settings have been entered.

What I help verify:
  • ✓ End-to-end patient workflows
  • ✓ Documentation and task processes
  • ✓ Billing and payment scenarios
  • ✓ Reporting accuracy and staff usability
THE OUTCOME

Tested workflows, documented findings, and recommendations for any remaining improvements.

Your Practice. Your Workflows. Your Priorities.

Not every clinic needs a complete system overhaul. Some practices need help with a few specific configurations. Others need more comprehensive workflow redesign or migration preparation. The scope of support is based on your practice's needs, existing resources, and priorities.

The goal is to solve the right problems, not create more work.
WHY HEARSHIELD PRO

Experience Beyond the Software

Understanding the technology is important. Understanding the business behind it is essential.

My experience spans multi-site healthcare operations, audiology business development, corporate acquisitions and integration, healthcare analytics, and OMS implementation. I've worked on multiple sides of the same operational challenges, giving me a broader perspective on how systems, workflows, data, and financial performance connect.

A DIFFERENT PERSPECTIVE

I've worked inside the practice, across a national clinic network, and within the OMS industry.

Before entering audiology, I spent more than a decade managing multi-site healthcare operations, implementing electronic medical record systems, developing standardized workflows, and supporting organizational growth and acquisitions.

In audiology, I served as Vice President of Business Development for a multi-clinic private practice, using patient data, operational analytics, and workflow improvements to strengthen practice performance and revenue.

Following the practice's acquisition, I joined the corporate operations team of a global hearing aid manufacturer. My work included supporting acquired clinic integrations, business intelligence, OMS migrations, and payer strategy. I identified data integrity issues, workflow discrepancies, and system-related challenges affecting operational continuity.

I later worked within an audiology practice management software company, helping bridge clinical operations and technology through system implementation, configuration, workflow development, and data migration.

I don't just evaluate what software can do. I evaluate what the practice needs it to accomplish.

Behind the Software Implementation

Working within an audiology OMS company, I supported software implementation, data migration, configuration, and workflow optimization. I applied firsthand practice operations experience to identify gaps between software functionality and the clinical, administrative, and financial processes practices need to manage.

I Look at the Entire Operational Picture.

A scheduling change can affect provider utilization. A billing configuration can affect reimbursement. A migration can impact data integrity, reporting, documentation, and financial reconciliation. And a workflow that works for one practice may not work for another. Understanding how those decisions affect the entire business is what I bring to your OMS project.

COMMON QUESTIONS

Frequently Asked Questions

Questions about your OMS? You're not alone.

Whether you're considering a software change, struggling with your current system, or preparing to open a new audiology clinic, here are answers to some common questions.

Can you help optimize my current OMS without switching software?

Absolutely. In many cases, the software already has capabilities the practice isn't fully using.

I evaluate your current OMS configuration and workflows to identify opportunities to improve scheduling, documentation, task management, billing processes, reporting, and other daily operations.

The goal is to help you get more value from your existing system before considering a costly and disruptive software change.

Does HearShield Pro replace my OMS provider's training or support team?

No. I work alongside your OMS provider, not in place of them.

Your software vendor provides the platform, product training, technical support, and implementation services included in your agreement.

My role is to understand how your audiology practice operates, identify opportunities for improvement, and translate your clinical, administrative, and financial needs into practical configuration requirements.

When appropriate, I coordinate with your vendor to help ensure the software supports your operational goals.

What should an audiology practice do before migrating to a new OMS?

A successful audiology software migration begins well before the data transfer.

Practices should review existing patient records, insurance information, outstanding balances, hearing aid records, appointment types, fee schedules, documentation templates, and operational workflows.

It's also important to understand exactly which information will transfer, which configurations must be recreated, and how the new system will be validated before go-live.

I help practices identify these issues in advance and coordinate operational requirements with their OMS provider.

Can you help with problems that occurred during a previous OMS migration?

Yes. Some migration problems don't become apparent until a practice begins using the new system.

These can include incomplete or inconsistent patient information, missing workflows, incorrectly configured provider details, billing discrepancies, or reports that no longer reflect the practice's expectations.

I can help investigate the operational impact, identify possible causes, develop a correction plan, and coordinate with the vendor when technical intervention is required.

The available solutions depend on the condition of the original data, system access, and the vendor's technical capabilities.

Can you help configure an OMS for a brand-new audiology clinic?

Yes. New audiology practices benefit from establishing their clinical, administrative, and financial workflows before seeing their first patients.

I can assist with provider and location setup, appointment types, scheduling rules, patient forms, clinical templates, services, CPT codes, fee schedules, insurance and TPA workflows, and operational reporting.

I also help ensure configuration decisions align with the clinic's broader business model and operating procedures.

Which audiology OMS platforms do you work with?

My experience includes audiology practice management workflows involving Suno, CounselEAR, and Blueprint OMS, including system transitions and migrations.

While software functionality differs across platforms, the operational principles behind scheduling, clinical documentation, insurance workflows, financial controls, and reporting are often similar.

Support for a particular platform depends on its capabilities, available access, and the scope of the project. We can discuss your specific system during the initial consultation.

Can you help with billing, insurance, and financial reporting workflows?

Yes. Financial processes are an important part of OMS optimization.

I help practices evaluate fee schedules, service pricing, insurance and TPA configurations, provider identifiers, payment workflows, accounting mappings, and operational reporting.

The objective is to identify configuration or workflow issues that may contribute to billing errors, reconciliation problems, excessive administrative work, or unreliable financial information.

I collaborate with your existing billing, accounting, and software teams when specialized support is needed.

How do we get started with OMS optimization or migration support?

Start with a 30-minute consultation to discuss your current software, operational challenges, and what you'd like to improve.

From there, I can recommend an assessment or a defined consulting project based on your practice's needs.

Not every practice needs a complete overhaul. Some need help with a few specific workflows, while others benefit from a comprehensive configuration review or migration readiness plan.

The goal is to identify the right level of support before investing in unnecessary work.
